Booking Conditions
These Booking Terms & Conditions, together with our privacy policy and any other legal information or terms brought to your attention either on our website, over the telephone, or in person before we confirmed your booking, form the basis of your contract with [Your Travel Agency Name] whose registered office is located in Greece and which operates under Greek law (“we”, “us” and “our”). Please read them carefully as they set out our respective rights and obligations. References to “you” and “your” include the first named person on the booking and all persons on whose behalf a booking is made or any other person to whom a booking is added or transferred. References to “Travel Arrangement(s)” in these Booking Conditions are to the accommodation, transport, experiences, and other services featured on our website. References to “Supplier” mean the provider of the Travel Arrangements, including but not limited to accommodation providers, transfer providers, car hire companies, and local experience providers. References to “Principal Supplier” or “Principal” mean the Supplier with whom your contract is directly established.

By making a booking, the first named person on the booking agrees on behalf of all persons detailed on the booking that he/she:
​
a. Has read these Booking Conditions and has the authority to and does agree to be bound by them;
b. Consents to our use of personal data in accordance with our Privacy Policy and is authorised on behalf of all persons named on the booking to disclose their personal details to us, including where applicable, special categories of data (such as information on health conditions or disabilities and dietary requirements);
c. Is over 18 years of age and, where placing an order for services with age restrictions, declares that he/she and all members of the party are of the appropriate age to purchase those services;
d. Accepts financial responsibility for payment of the booking on behalf of all persons detailed on the booking.

Legal Framework
We operate under Greek law, and any disputes or claims arising out of your contract with us will be governed by the laws of Greece. By confirming your booking, you agree that any legal action will be subject to the exclusive jurisdiction of the Greek courts.
Our Role
We act in various capacities depending on the type of travel arrangement you book with us:

As a Package Organiser/Principal: In this capacity, we are responsible for the proper performance of the package holiday and ensuring that all elements of the package comply with Greek laws regarding package travel. This applies to bookings where we directly create and sell a package combining accommodation, transfers, and/or other services.

As an Agent: In this capacity, we arrange travel services on behalf of third-party providers. In this case, your contract will be with the Principal Supplier, and their terms and conditions will apply. We act solely as an intermediary, and our liability is limited to our role as an agent.

You will be advised at the time of booking which role applies, and this will be confirmed on your booking confirmation. For the avoidance of doubt, we do not sell Linked Travel Arrangements (as defined under the Package Travel and Linked Travel Arrangements Regulations 2018).

Your Contract and Financial Protection
We comply with all relevant Greek and EU regulations concerning package travel and the protection of customer funds. In the unlikely event of our insolvency, your payments will be protected in accordance with Greek consumer protection laws. Full details of your protection will be provided at the time of booking.

Please Note: Our obligations to you vary depending on the type of booking you make:
(A) Conditions that apply when we act as Package Organiser (see Clauses 1-24) – when you book a complete package directly with us.
(B) Conditions that apply when we act as an Agent (see Clauses 25-42) – when we arrange a booking for services provided by a third-party supplier who acts as the Principal of your contract.
CONDITIONS WHEN BOOKING A PACKAGE WHERE WE ACT AS THE PACKAGE ORGANISER

1. Your Package Contract
Subject to us advising you otherwise, where your booking is for a Package, as defined below, we will act as the “Package Organiser”, and you will be entitled to the rights and protections under the Package Travel Directive (EU) 2015/2302 and Greek consumer protection laws.

A “Package” exists if you book a combination of at least two different types of the following individual travel services for the same trip or holiday:
a. Transport, including but not limited to flights, trains, and coaches (excluding minor transport services such as guided tours or transfers);
b. Accommodation;
c. Rental of motor vehicles, including cars and motorcycles (in certain circumstances); and
d. Any other tourist service that is not intrinsically part of one of the above travel services, provided that those services are purchased together from a single visit to our website and selected by you before you agree to pay, or are advertised, sold, or charged at an inclusive or total price, or under the term “package” or a similar term.
Your contract will be with us unless we inform you at the time of booking that we are acting as an agent for another Package Organiser. If this is the case, Agent Conditions will apply, and it will be clearly stated on your booking confirmation.

All bookings are subject to availability at the time of booking. We do not guarantee that any of the packages we advertise will still be available when you request to book.

By clicking to book and entering your personal and payment details on our website or providing us with details over the phone, you are requesting us to confirm the relevant Package on your behalf. Once you receive a confirmation invoice with a booking reference number, you have entered into a legally binding agreement with us to purchase the Package.

2. Booking
When you make a booking, you will have the opportunity to review and confirm all details before proceeding with payment. It is your responsibility to ensure all names, dates, and timings are correct. Any changes after confirmation will incur amendment fees (see Clause 10). Ensure that the names provided match those in your passport.
​
The booking information you provide will be shared only with the relevant suppliers or authorities necessary for arranging your Package. This may include public authorities (customs or immigration), security or credit-checking companies, or those responsible for health and safety compliance. If you travel outside the European Economic Area (EEA), please be aware that data protection laws in those countries may not be as strict as those within the EEA. If we cannot pass on your information as required, we may not be able to fulfill your booking. By booking with us, you consent to this data sharing.

Group Bookings
For larger group bookings, we recommend contacting our Customer Support team at +30 [insert local number]. If parts of a group book separately, we cannot guarantee availability for everyone if the initial booking fills the allocation. Unfortunately, we cannot cancel the first booking without applying cancellation charges (see Clause 10).

3. Payment
To secure your Package, you must make payment as outlined below. All prices are quoted in euros (€) and must be paid in this currency. Payment must also include applicable insurance premiums and booking fees. We accept the following forms of payment:

Payment Terms
-
Full payment is required at the time of booking unless we agree that you may pay a non-refundable deposit. If a deposit is accepted, the remaining balance is due 12 weeks prior to travel. This due date will be clearly stated on your confirmation invoice.

If your booking is made within 60 days of departure, full payment is required at the time of booking.

Your booking is confirmed once we receive payment and issue a confirmation invoice. We reserve the right to decline bookings at our sole discretion.

If we are unable to collect outstanding payments by the due date, we reserve the right to cancel your booking and apply cancellation charges as set out in Clause 10.
​
4. Taxes
Please be aware that local authorities in Greece and other destinations may impose additional taxes, such as tourist taxes, which are payable locally at your accommodation. These taxes are not included in your Package price and are your responsibility to pay at the time of check-in or check-out.

4. Package Contract
When your booking is for a Package, as defined below, we will act as the “Package Organiser”, and you will receive the rights and benefits provided under the Package Travel Directive (EU) 2015/2302 and applicable Greek consumer protection laws.
​
A “Package” exists if you book a combination of at least two different types of the following individual travel services for the same trip or holiday:
a. Transport, including (but not limited to) flights, trains, and coaches. Minor transport services such as guided tours or transfers do not count as transport services for the purposes of forming a Package;
b. Accommodation;
c. Rental of cars, motor vehicles, or motorcycles (in certain circumstances); and
d. Any other tourist service not intrinsically part of one of the above services, provided that those services are purchased together from a single visit to our website, selected before payment, and advertised or charged at an inclusive or total price, or sold under the term “package” or a similar description.
Your contract will be with us unless we act as an agent for another Package Organiser, in which case Section C of these Booking Conditions will apply, and this will be clearly stated at the time of booking.

5. Accuracy
We make every effort to ensure that the information and prices displayed on our website and in our promotional materials are accurate. However, errors and changes can occasionally occur, and we reserve the right to correct prices and details at any time. You must check the current price and all other details of your chosen Package before your booking is confirmed.

If a Package is listed at an incorrect price and your booking has already been confirmed, we reserve the right to cancel the booking and refund all monies paid.
​
6. Insurance
It is mandatory that you take out comprehensive travel insurance to cover you and all members of your party for the following:

Cancellation costs
-
Medical emergencies and repatriation in case of illness or accident

Loss of baggage and personal items
-
Travel disruptions
-
Any activities booked during your trip, particularly those involving adventure, extreme sports, or outdoor pursuits.

We reserve the right to request proof of insurance at any time prior to travel.
If you choose to travel without adequate insurance, we will not be liable for any losses, damages, or expenses for which insurance would otherwise have provided coverage.
​
7. Special Requests
If you have any special requests (e.g. dietary requirements, specific room locations, or certain hotel facilities), please inform us at the time of booking. Special requests should be confirmed in writing.
While we will make every effort to accommodate your requests, we cannot guarantee that they will be met. The fact that a request is noted on your booking confirmation or passed on to the supplier does not confirm that it will be fulfilled.

Failure to meet a special request does not constitute a breach of contract on our part unless the request has been specifically confirmed in writing. We regret that we cannot accept bookings that are conditional on special requests being met.
​
8. Fitness to Travel and Medical Conditions
We are not a specialist provider of assisted holidays, but we will do our best to accommodate any special assistance requirements. If you or a member of your party has a medical condition or disability that may affect your trip, you must provide full details before we confirm your booking.
We may require a doctor’s certificate confirming that you are fit to participate in the Package. Acting reasonably, if we or our supplier cannot accommodate your needs, we reserve the right to:

Refuse your booking, or
-
Cancel it if you did not disclose relevant information at the time of booking. Applicable cancellation charges will apply in such cases.

9. Cutting Your Holiday Short
If you choose to cut your holiday short for personal reasons, we regret that we cannot refund any unused portion of your Package.
​
If you leave early in circumstances where there is no fault with the standard of accommodation or services provided, we will not offer a refund for any unused part of your trip, nor will we be liable for any additional costs you incur.
​
In such cases, we recommend that you contact your travel insurance provider, as they may offer cover for curtailment depending on your policy.
​
10. Changes and Cancellations by You
All cancellation or amendment requests must be made in writing and sent to our Customer Support team at travelagency.retreatsingreece@gmail.com or by mail to:

Please ensure that you receive written confirmation from us regarding any changes to your booking prior to travel. While we will do our best to accommodate your request, most amendments and cancellations depend on the policies of the relevant Supplier, which may be beyond our control.

Cancellations
If you need to cancel your booking, please be aware that cancellation charges will apply, as detailed below, to cover the costs we incur. These charges are based on the period before your departure date when we receive your written notification of cancellation:
General Cancellation Terms
Period Before Departure - Cancellation Charge
More than 90 days before departure - Loss of deposit
Between 60 and 90 days (date not included) - 25% of the total cost of the Travel Arrangement/Package
Between 30 and 60 days (date included) - 50% of the total cost of the Travel Arrangement/Package
Less than 30 days (date not included) - 100% of the total cost of the Travel Arrangement/Package

Please Note:

The specific cancellation terms for certain experiences may differ from the general terms above and will be provided at the time of booking. These specific terms will take precedence over the general cancellation terms.

Experience and gift vouchers are non-refundable and cannot be exchanged for cash.

Any amendment request, if accepted, may be subject to an administration fee along with any additional costs imposed by our Suppliers.

If You Cancel your Package due to Unavoidable & Extraordinary Circumstances
If you have booked a Package, you have the right to cancel your confirmed Package before departure without paying a cancellation charge in the event of “unavoidable and extraordinary circumstances” occurring at your holiday destination or its immediate vicinity that significantly affect the performance of the Package or your transport to the destination. In such circumstances, we will provide you with a full refund of all monies paid. However, Retreats in Greece will not be liable to pay any compensation. We will adhere to travel advice provided by the relevant Greek and international authorities.
​
For the purposes of this clause, “unavoidable and extraordinary circumstances” include events such as warfare, acts of terrorism, significant risks to human health (e.g., outbreak of a serious disease at the travel destination), or natural disasters (e.g., floods, earthquakes, or extreme weather conditions) that make it impossible to travel safely.
​
Changes to Your Booking
Amendments
If you wish to change any part of your booking after receiving our confirmation invoice, you must notify us in writing as soon as possible. This should be done by the first named person on the booking. While we will do our best to accommodate your request, we cannot guarantee that it will be possible.
Where we can accommodate the change, the following fees will apply:

£25 administration fee per amendment, plus any additional costs imposed by our Suppliers.

If the requested change increases the price of your new travel arrangements, you will be required to pay the difference.

If we cannot meet your request and you choose not to proceed with the original booking, this will be treated as a cancellation, and cancellation fees will apply (see General Cancellation Terms).

Please note that there will be no reduction in price if your new travel arrangements are cheaper than the original booking.
​
Additionally, if your change involves fewer travellers and your booking was priced based on the number of adults in a group or the minimum occupancy of accommodation, we will recalculate the total price. The cost per person may increase, and you will need to pay the difference.
​
Amendment Charges
Requested Change - Amendment Charge
Change of dates - Cancellation of original Package + cost of new Package + £25 administration fee
Change of title, initial, first name, or surname - Supplier’s charge + £25 administration fee per person
Add people to the booking - Supplier’s charge + £25 administration fee per person
Remove people from the booking - Supplier’s charge + £25 administration fee per person + appropriate cancellation fee for the person cancelled

Certain arrangements may not be amended or transferred after they have been confirmed. Any alteration may incur a cancellation charge of up to 100% of the cost of that part of the arrangement.
​
Transferring Your Package Booking
If a member of your party is unable to travel, they may transfer their place to someone else, provided the following conditions are met:

The person you are transferring the booking to meets all conditions applicable to the original travel arrangements.

You notify us in writing at least 7 days before departure.
-
You pay the £25 administration fee per person being transferred, along with any additional costs imposed by the Supplier.
-
The transferee agrees to these Booking Conditions and all other applicable terms.
​
You and the transferee will remain jointly and severally liable for the full payment of all amounts due.
If you cannot find a replacement, the cancellation charges outlined in General Cancellation Terms will apply. No refunds will be given for passengers who choose not to travel or for unused services.
​
11. Changes and Cancellations by Us
Occasionally, we may need to make changes to your Package. We reserve the right to do so in the following situations:

Price Changes
Changes in taxes, third-party fees (such as tourist taxes), or exchange rates may cause an increase in the price of your Package. We will absorb any increase up to 2% of the price of your travel arrangements. If the increase exceeds 8%, you will have the option to:-
Accept the changes;
-
Cancel the Package and receive a full refund;
-
Accept an alternative travel arrangement (if available), with a price adjustment if the new arrangement is cheaper or more expensive.

If you decide to cancel, you must notify us within the time period specified on your final invoice.
​

Changes to Services
We will notify you as soon as possible if there are any insignificant changes to your Package. Examples of insignificant changes include minor alterations to accommodation or facilities of the same or higher standard. These changes will not entitle you to a refund or compensation. -
Minimum Numbers
Some of our Packages require a minimum number of participants. If we have to cancel your Package due to insufficient numbers, you will be notified within the specified time frame and receive a full refund of all monies paid.

Significant Changes
If a significant change is required, we will notify you as soon as possible. Examples of significant changes include:

A change of accommodation area for a significant portion of your trip.
-
A downgrade of accommodation for the majority of your stay.
In such cases, we will offer you the following options:
-
Accept the change.
-
Cancel and receive a full refund.
-
Accept alternative travel arrangements (if available) at no additional cost, or at a lower price if the new arrangement is of lesser value.

You must notify us of your decision within 7 days. If you do not respond within this period, we will assume that you accept the change.
​
Unavoidable & Extraordinary Circumstances
In rare cases, we may need to cancel or alter your travel plans due to events beyond our control (e.g., natural disasters, acts of terrorism). In such situations, Retreats in Greece will not be liable for any refunds, compensation, or expenses incurred.
​
12. Your Behaviour
We expect all guests to act in a respectful and orderly manner, ensuring that they do not disturb other guests' enjoyment. If, in our opinion, or that of the Supplier or any authority, your behaviour—or that of anyone in your party—causes or is likely to cause distress, danger, annoyance to others, property damage, or transport disruptions, we reserve the right to terminate your booking immediately.
In such cases, we are no longer liable to you or your party, and you must leave your accommodation or service without a refund. We will not cover any costs or expenses incurred due to termination.
You will also be responsible for any damage or loss caused by you or your party. Payments for damages must be made directly to the supplier or accommodation provider before departure. If payment is not made, we may pursue claims against you, including legal costs.
We are not liable for the actions or behaviour of others not connected with your booking or us.

13. Our Responsibilities in Respect of Package Holidays
(1) Package Holidays: If you have booked a Package and we are the Package Organiser, we accept responsibility for the travel arrangements as per the Greek Package Travel Law. Below is the detailed information we are required to provide to you under this law:

Package Details: This includes full details of the travel arrangements, including the itinerary, accommodation, and transport arrangements, as well as the price and payment details.
-
Supplier Details: We will provide details of all Suppliers involved in your booking, including their terms and conditions, if applicable.
-
Emergency Contacts: Information for emergency assistance will be provided in the event you require urgent help during your trip.
​
If we or a Supplier fail to provide the agreed services due to negligence, and it negatively affects your experience, we may offer a price reduction or compensation. The level of compensation will depend on the severity of the issue and how much it impacted your overall enjoyment.
(2) Exclusions: We are not responsible for claims resulting from:

(a) actions/omissions of the affected person,
-
(b) actions/omissions of a third party unconnected with the service,
-
(c) unavoidable circumstances (as defined in clause 10),
-
(d) unforeseeable or unavoidable events.
(3) Compensation Limitations:
-
(a) Loss/damage to luggage or personal possessions: We will pay up to the excess on your insurance policy.
-
(b) Non-injury claims (excluding death or illness): We will pay up to twice the price of the package.
-
(c) Claims for international travel or hotel stays: Liability is limited under relevant conventions (Athens, Berne, Paris). You must accept the terms of these conventions as part of your contract.
(4) Claims Procedure: You must follow the complaints procedure to notify any claim to us and the Supplier.
(5) Assignment of Rights: If compensation is paid, you must assign any rights to pursue a third party to us or our insurers.
(6) Non-Liability: We are not liable for damage, loss, or other claims unless it was foreseeable or relates to business activities.
(7) Non-Contractual Services: We are not responsible for services or facilities outside our agreement, such as excursions booked during your trip.
If you cannot return to your departure point due to “unavoidable and extraordinary circumstances” (e.g., war, terrorism, natural disasters), we will provide necessary accommodation (up to 3 nights, where possible). This does not apply to individuals with special needs (e.g., reduced mobility, pregnancy, unaccompanied minors) if notified 48 hours in advance.

14. Prompt Assistance in Resort
If you experience difficulty during your trip, we will offer appropriate assistance, including information on health services, local authorities, and alternative arrangements. However, we are not liable for any costs incurred unless you obtain prior authorisation from us. We may charge a fee for assistance if caused by your or your party’s negligence.

15. Complaints

Please submit complaints within 28 days of your stay, with relevant booking reference. Following this procedure helps us resolve the issue promptly. Claims regarding injuries or illnesses must be reported to both the Supplier and us during your trip. You may also use the European Commission Online Dispute (ODR) platform at http://ec.europa.eu/consumers/odr/, though it may not be available post-Brexit.

16. Excursions
Excursions or tours booked during your trip are not part of your Package. Your contract will be with the excursion operator, not us. We are not responsible for their provision or any issues that arise.
​
17. Passport, Visa and Immigration Requirements and Health Formalities
It is your responsibility to ensure you meet all passport, visa, health, and immigration requirements. We provide general guidance, but you must verify specific requirements with relevant authorities. Ensure your passport is valid for at least 6 months after your return date. If travelling to the USA, check for machine-readable passport requirements.

Up-to-date travel advice is available from the Greek Ministry of Foreign Affairs or here. Non-Greek passport holders should consult the relevant Embassy or Consulate.
We are not liable if you are unable to travel due to failing to comply with these requirements. You agree to reimburse us for any fines or costs we incur.

18. Conditions of Suppliers
Many services in your package are provided by independent Suppliers, each with their own terms and conditions. Some of these terms limit their liability in line with applicable conventions. Copies of these terms are available on request.

19. Foreign Office Advice
You are responsible for staying informed about foreign government advice regarding the safety of the countries you are visiting. If advice recommends avoiding or leaving a country, it may be considered an "unavoidable and extraordinary circumstance" (as defined in clause 10).
​
20. Ratings and Standards
All ratings are based on information from Suppliers or our own evaluations, which are informed by customer feedback and industry standards. These may vary across countries and Suppliers, and we cannot guarantee the accuracy of ratings.

All descriptions on our website or provided materials are intended to give a general overview of the services offered by Suppliers. Not all details are included. For more information, please contact us.

22. Accommodation Booking Procedure
If your Package includes accommodation, your booking details (dates, times) will be included in the confirmation invoice. Upon arrival, you will be assigned a room.
23. Insolvency Protection
We provide full financial protection for our package holidays in compliance with Greek law on package holidays.
​
24. Jurisdiction and Applicable Law
These Booking Terms and Conditions are governed by Greek law. Any disputes arising from your contract or booking will be handled by the courts of Greece, unless you are a resident of another country and can invoke the jurisdiction of the courts in your own country.
​
25. Contract
These are the terms on which we will make a booking for your travel or holiday requirements. When making your booking, we will arrange for you to enter into a contract with the Principal Supplier(s) (e.g., tour operator, accommodation provider, activity provider) named on your confirmation invoice(s). We can book you a holiday with one company or book a specific Travel Arrangement, activity, or service with different Principal Suppliers, in which case you will have separate contracts with them as the Principal.
As we are acting as an agent, we accept no responsibility for the acts or omissions of the Principal Suppliers or for the services, packages, or travel arrangements provided by them. The Principal Supplier’s Terms and Conditions will apply to your booking, and we advise you to read them carefully as they contain important information about your booking. If you do not have these terms, please request them from us.
All Travel Arrangements that we provide or sell through us are not an offer by us to sell any Travel Arrangements. Rather, they are an invitation for you to make an offer to the Principal Supplier(s) of the arrangements. We are free to accept that offer on behalf of the Principal Suppliers or to reject it.

26. Booking Details
For Package bookings, you will be given the details of the Package Organiser prior to making your booking. It is the responsibility of the Package Organiser to ensure that you have been provided with all necessary details as required under Greek law before the booking is made. If you have not been given sufficient information, please let us know and we can liaise with the Package Organiser on your behalf, should you wish us to do so.

For non-Package bookings, we will advise you of the Principal Supplier’s details prior to your booking.
When a booking is made, we will read back all details to you. Once you have confirmed these details, we will proceed to confirm the booking with the Principal Supplier(s). Please check that all names, dates, and timings are correct on receipt of your documents, and advise us of any errors immediately. Any changes to these details may incur charges as stated below. Ensure that the names provided match those on the relevant passport.

The booking information you provide to us will be passed on only to the relevant Principal Suppliers of your travel arrangements or other persons necessary for providing those arrangements. The information may be provided to public authorities such as customs or immigration if required by them or as required by Greek law. This applies to any special category (sensitive) information you provide, such as details of disabilities or dietary and religious requirements. By making this booking, you consent to this information being passed on to the relevant parties. Certain information may also be passed on to security or credit checking companies.

If you are travelling outside the European Economic Area (EEA), be aware that controls on data protection may not be as strong as in Greece. If we cannot pass this information to the relevant suppliers, whether inside the EEA or not, we will be unable to provide your booking. For full details of our privacy policy, please contact us.

27. Payments
You will be required to pay a deposit or make full payment for your booking at the time of booking, in accordance with the Principal Supplier’s booking conditions. Where you only pay a deposit, you must pay the full balance by the balance due date notified to you. If full payment is not received by the balance due date, we will notify the Principal Supplier(s), who may cancel your booking and charge the cancellation fees set out in their Terms and Conditions.

28. Financial Protection
All the Package holidays we sell come with protection for your money. If you book a single element Travel Arrangement, financial protection may not apply. Package holidays are protected by the Package Organiser, and we will provide you with their confirmation.
​
If, after booking one Travel Arrangement, you decide to book additional Travel Arrangements for your trip or holiday through us, you will NOT benefit from the rights typically granted to Packages under Greek law and other relevant European regulations. Therefore, we will not be responsible for the proper performance of the individual Travel Arrangements or services. In case of issues, please contact the relevant Principal Supplier.

29. Accuracy
We make every effort to ensure that all the information and prices on our website and in any advertising material we publish are accurate. However, we rely on information provided to us by Principal Suppliers, and occasionally, changes or errors may occur. We reserve the right to correct or amend prices and other details in such circumstances. You must check the current price and all other details relating to the Package or Travel Arrangements that you wish to book before confirming your booking. If the price of the Package or Travel Arrangement was listed incorrectly and the booking has already been confirmed, we reserve the right to cancel the booking and refund any payments made.

30. Insurance
Many Principal Suppliers require you to have travel insurance as a condition of booking. Regardless, we strongly recommend that you take out travel insurance to cover yourself and your party against cancellation costs; the cost of assistance (including repatriation) in the event of illness or accident; loss of baggage and money; and other expenses, as well as ensuring that you have cover for any activities you’ve booked, including coverage for activities such as extreme sports, adventure travel, and any other special activities.

If you choose to travel without adequate insurance coverage, we will not be liable for any losses arising from situations where insurance coverage would otherwise have been available.

31. Fitness to Travel and Medical Conditions
If you or anyone in your party has a medical condition or disability that might affect your trip, please provide full details to us before confirming your booking so we can consult with the Principal Supplier on the suitability of the Package or Travel Arrangements. The Principal Supplier may request a doctor’s certificate confirming your fitness to participate in the chosen Package or Travel Arrangement.
Acting reasonably, if the Principal Supplier cannot properly accommodate the needs of the person(s) concerned, we may not confirm your booking on their behalf. If you did not provide full details at the time of booking, we will inform the Principal Supplier once we are aware. If they cannot accommodate your needs, they may cancel your booking and apply cancellation charges.

32. Cancellation and Amendment
Any cancellation or amendment requests must be made in writing and sent to Customer Support at travelagency.retreatsingreece@gmail.com or to Retreats in Greece, Evexia (Kos), Tigaki, Kos, 85300. Please ensure that you receive written confirmation of any changes to your booking before travelling. While we will try to assist, most cancellations or amendments are outside of our control, and we cannot guarantee that the Principal Supplier will accept these requests.

The Principal Supplier will charge cancellation fees as follows:​

More than 90 days before departure - Loss of deposit

Between 60 and 90 days (date not included) - 25% of the total cost of the Travel Arrangement/Package

Between 30 and 60 days (date included) - 50% of the total cost of the Travel Arrangement/Package

Less than 30 days (date not included) - 100% of the total cost of the Travel Arrangement/Package

If different terms apply, these will be notified to you at the time of booking. For any amendments, you will be required to pay any supplier fees, plus an administration fee of €25.00 per person (or applicable alteration charge). We will notify you of the exact charges at the time of amendment or cancellation.
Please note:

Some Travel Arrangements may not be changeable after booking, e.g., non-refundable accommodation. You will be informed of any non-refundable charges before confirming your booking.

Administration fees are non-refundable if you cancel your booking.

33. Changes and Cancellations by the Principal Supplier
If the Principal Supplier needs to make a significant change to your confirmed Package or Travel Arrangements, or if they need to cancel them, we will inform you as soon as reasonably possible. We will also liaise between you and the Principal Supplier to help you with any alternative arrangements offered, but we will not have further liability to you.

34. Responsibility for your Booking
As an agent, our responsibility to you is to use reasonable skill and care in placing your booking with the Principal Supplier.

If you have booked a Package or other Travel Arrangement, the Principal Supplier holds the primary responsibility for providing the Package or Travel Arrangement, as detailed in your Confirmation Invoice. Where applicable, the relevant details will be provided, and the Principal Supplier's Terms and Conditions will govern your booking.

All information duties relating to Packages, as required under Greek law and relevant European regulations, apply to the Package Organiser.

35. Force Majeure
Except where otherwise expressly stated in these Booking Conditions, we will not be liable or pay compensation if our contractual obligations to you are affected by “Force Majeure.” For the purposes of these Booking Conditions, Force Majeure refers to any event beyond our or our Supplier’s control, the consequences of which could not have been avoided even if all reasonable measures had been taken. Examples include warfare, terrorism (and the threat thereof), civil strife, significant risks to human health such as the outbreak of serious disease at the travel destination, natural disasters such as floods, earthquakes, or adverse weather conditions that make it impossible to travel safely to or remain at the travel destination, actions of any government or local authorities (including port or river authorities), industrial disputes, labor strikes, or technical issues with transport such as air traffic control strikes or flight cancellations, and all similar events outside our or the Principal Supplier’s control.

36. Visa, Passport and Health Requirements
It is your responsibility to check and fulfil the passport, visa, health, and immigration requirements applicable to your itinerary. We provide general information about this, but you must consult the relevant embassies, consulates, and medical professionals for the most accurate and up-to-date advice based on your specific circumstances. Requirements can change, so be sure to check well in advance of departure.
For travel to Greece, ensure your passport is valid for at least 6 months beyond the planned return date. Please check for any specific requirements, including health and visa regulations, with the appropriate authorities.

We do not accept responsibility if you cannot travel or incur any losses due to failure to meet passport, visa, immigration, or health requirements. You agree to reimburse us for any fines or losses we incur as a result of your failure to comply with these requirements.
37. Travel Arrangement Ratings and Standards

All ratings provided for our Travel Arrangements are either provided by the Principal Supplier or based on our own evaluations and customer feedback. Ratings may differ between countries and suppliers. We strive to offer accurate information, but we cannot guarantee the absolute accuracy of the ratings. We have made reasonable efforts to verify the official ratings of the Package or Travel Arrangement and include them in the relevant descriptions, but standards and ratings may vary.

38. Documentation & Information
All descriptions and content on our website or otherwise provided by us are done so on behalf of the Principal Supplier and are meant to provide a general idea of the services offered. Not all details of the Package or Travel Arrangements can be included. All offerings are subject to availability. Should you require additional details or clarification, please contact us.

39. Foreign Office Advice
It is your responsibility to stay informed regarding any advice from the relevant foreign or government authorities about the safety of the countries or areas you will be travelling to. Decisions based on this advice (for instance, avoiding or leaving a destination) could potentially constitute Force Majeure (see clause 35). You are encouraged to check for the latest travel advisories and information prior to travel.

40. Your Behaviour
You are expected to conduct yourself in an orderly and acceptable manner throughout your Travel Arrangement. If, in the opinion of the Principal Supplier or any other authority figure, your behaviour or that of anyone in your party is disruptive, dangerous, or causes distress, damage, or delays to transport, they reserve the right to terminate your booking immediately, without further liability. You and/or your party may be held responsible for any damages or losses caused by your actions, and you will be required to pay for any loss or damage caused. All costs related to such behaviour must be paid directly to the Principal Supplier before departure. Failure to do so may result in claims against you for further expenses and legal fees.
We cannot be held responsible for the actions or behaviour of other guests or individuals who have no direct connection with your booking.

41. Complaints
As the contract for your Package or Travel Arrangement is between you and the Principal Supplier, any complaints should initially be addressed to them. If you experience issues while using the Package or Travel Arrangement, you must inform the Principal Supplier immediately. Failure to do so will reduce the opportunity for the Principal Supplier to resolve the issue. If the issue is unresolved and you wish to escalate the complaint, you may inform us in writing, and we will attempt to assist as an intermediary.
For complaints about injuries or illnesses, it’s essential to notify the Principal Supplier during your stay. Accommodation providers and other suppliers may not accept claims unless issues are reported promptly.

42. Law and Jurisdiction
These Booking Conditions are governed by Greek law, and we both agree that any disputes or claims will be resolved in the courts of Greece. This ensures compliance with the local legal framework and protects both parties in accordance with the legal norms of the country.
